This is a permanent position for our Calgary corporate office located downtown. This position will report to the Proposal Management Lead.

 

What would you be doing?

  • Ownership and accountability in delivering high-quality, complex proposal requests (RFPs, RFIs).
  • Planning, developing, and implementing strategy with the Operational, Functional, and Business Development stakeholders through the proposal lifecycle.
  • Research and review client and project information to provide thorough, accurate, qualitative proposals and analyze RFPs/RFIs client requirements/documents to ensure submissions are focused, creative, articulate, and compliant.
  • Organize and manage all files, documents, submission packages and client deliverables in a dynamic environment with the ability to identify the scopes of work and subcontract potential work based on specifications, drawings, and RFP documents.
  • Outline tasks to complete RFP, assignment of responsibility, adherence to proposal preparation timelines, and delegation of appropriate or any required activities to Operational and Functional support.
  • Ensure all meetings are set with a structured agenda and/or required information packages and navigate the team through internal processes and meetings, including proposal kickoff, estimate review, risk review, proposal review, and status updates.
  • Plan, design, and format proposal layouts, including resumes, project profiles and client timeline histories in Microsoft Word, Excel, Visio, or MS Project as required.
  • Responsible for facilitating team communication and strategy in developing commercial and technical proposals and presentations.
  • Capture and document commercial and technical clarifications and assumptions in proposal preparation meetings and reviews.
  • Technical writing as applicable in conjunction with Functional and Operational support.
  • Writing, editing, formatting, and compiling proposal packages in compliance with submission requirements.
  • Complete final validation, quality assurance, and control of documentation, commercial information, and overall proposal for accuracy and alignment with requirements.
  • Review contracts/terms and conditions, consider the commercial requirements, and suggest exceptions.
  • Submission of compliant proposals by deadlines through various platforms.
  • Initiate and manage post-bid clarification responses to assist the team in understanding the request and writing deliberate technical and commercial responses.

  • Highly motivated with the ability to constantly pivot and shift priorities.
  • Advanced technical writing, editing and proofreading skills.
  • Demonstrated ability to manage multiple proposals at the same time and under tight deadlines;
  • Efficient computer skills, including Microsoft Office Suite, i.e. MS Word, Excel, Visio, SharePoint, and Adobe Pro, as required.
  • Ability to create, maintain, organize, and deliver high-quality, accurate documentation on time.
  • Have 3-5 years of experience in Proposals, preferably in the construction or related industry.
  • Degree or a related diploma in Business, English, Technical Writing/Editing, Education, or Communications is preferred. A combination of education and/or relevant experience may be considered.
  • Experience in Project Controls, Project Coordination/Management, or field execution is considered a vital asset.
  • Experience in construction, maintenance, or turnaround proposals from the oil and gas industry will be considered an asset.
  • CET or PMP is considered an asset.
